I'd like to hold an event, what do I need
to do now?
This guide is intended to highlight what you might need to
consider when organising a fundraising event for Against Breast
Cancer and how the Against Breast Cancer office can assist
you. Events need careful planning but they are a rewarding
and positive way to support Against Breast Cancer’s
breast cancer research.
Against Breast Cancer Fundraising Materials
A full list and order form for Against Breast Cancer fundraising
materials will be found at the end of this document. Please
make sure you indicate the appropriate amounts that you will
need for each item. Remember to order what you need in good
time for your event to allow time for despatching items to
you. We would be grateful if collecting tins, surplus badges,
sashes or other items which have been loaned, are returned
to the charity office, where reusable, as soon as possible

Against Breast Cancer Badges
The suggested donation for badges is £1.00. We operate
a ‘sale or return’ system, whereby you may order
badges and forward the proceeds to Against Breast Cancer as
and when you receive donations for them. Please ensure you
return both donations and any unused badges to the charity
office within six months.
Promoting Your Event - Advertising and Promotion
The responsibility for promotion and ticket sales lies with
the organiser of the event. Against Breast Cancer regrets
that we cannot sell tickets on behalf of fundraisers.
However, Against Breast Cancer features a What’s On
Guide in our ‘Insight’ magazine and
on our website. The charity magazine is published
once a year in Spring. If you would like an entry
for your event in either the magazine or the website,
please email details to

You might be planning to ask your local press to cover your
event. Please contact us if you would like to discuss how

Using the Against Breast Cancer Logo
If you wish to use the Against Breast Cancer logo to promote
your event, please act with care. You should only use the
official Against Breast Cancer Logo. The Against Breast Cancer
logo should always be used in an appropriate manner ie. on
posters, tickets, leaflets or flyers for events in aid of
Against Breast Cancer. If you are in any doubt, you should
always check with the Against Breast Cancer office first.
The logo must not be altered in any way. Please place “Registered
Charity” to the side or beneath the logo.
Sponsorship
You may want to approach companies for prizes or sponsorship
of an event. To avoid any confusion, please ensure you check
with the Against Breast Cancer office first if you decide
to contact the head office of any national company. Against
Breast Cancer may already have made an approach. Be careful
how you recognise your sponsors. Should you wish to recognise
companies who have supported your event, we recommend you
use the wording ‘supported by xxx.’
Promoting Against Breast Cancer at Your Event
Leaflets, posters, stickers and information sheets to display
or hand out at your event are available from the charity office.
Please let us know in what quantity you require the materials.
If you plan to talk about Against Breast Cancer at your event,
information sheets are available about our research programme.
Against Breast Cancer Staff Attendance
On occasions, Against Breast Cancer staff are asked to represent
the charity or give talks at fundraising events. We are happy
to do this if resources and location permit. Our aim is to
ensure that as much of your donation as possible goes towards
the research. Staff time, expenses and travel costs often
mean that it is impossible to attend every event, especially
those that are further a-field. Please understand that we
are a small charity with limited resources, and if we can
attend, we do ask that complimentary tickets are provided
for Against Breast Cancer representatives.
Budgeting
Remember to draw up a budget which anticipates all your costs
and expected income. Make sure you include any ‘hidden
costs’, such as licences, insurance or complimentary
tickets.

Return of Public Donations
Legally, the proceeds from an event or fundraising activity
should be returned to the charity office within 28 days of
the event or activity taking place.
Second Hand/Electrical Goods
Against Breast Cancer cannot accept any responsibility for
broken or damaged second hand toys and goods, or any electrical
or gas equipment which are sold in aid of Against Breast Cancer.
Public Entertainment Licences
If your event involves two or more people performing or dancing,
a Public Entertainment Licence is needed. The licence covers
safety of electrical equipment, potential fire hazards, availability
of fire escapes, exits and procedures for emptying the building,
and noise pollution. You may find that your venue (i.e. church
hall or community centre) already holds a Public Entertainment
Licence. You should ensure that you comply with the terms
of the licence.
If the premises do not already have a licence, then you will
need to apply for a temporary Public Entertainment Licence
from your Local Authority Licensing Department, three months
in advance.
You will need to guarantee several fire exits and check that
your venue does not back onto a noise sensitive area, such
as a hospital or sheltered accommodation. Further details
can be obtained from your Local Authority.
Liquor Licences
You will not need a licence if the venue or building where
you plan to hold your event already has a licensed bar and
the licensee is in charge of the bar. If you wish to sell
alcohol outside or in an unlicensed building, a landlord already
in receipt of a Liquor licence can apply to the local Magistrates
Court for an occasional liquor licence, which allows him or
her to hold up to four events in twelve months. You can also
apply personally to your local Magistrates Court for Occasional
Permission if you want to sell alcohol on unlicensed premises
for one-off public events. Occasional Permission allows you
to run twelve bars in a year. You will need to contact the
Magistrates Clerks Office with details of your event and they
will provide you with the form of application. This should
be done approximately three months in advance as hearing dates
are infrequent.
Health and Safety
Fundraising events are covered by the Health and Safety at
Work Act, so you should ensure that you comply with the licence
or venue’s fire and safety regulations and that you
are not endangering members of the public attending your event
or passers-by. If you are planning a larger scale event, you
should read the government publication ‘Essential Health
and Safety at Work’ available from major bookshops.
Insurance
Against Breast Cancer has Public Liability cover in place.
This extends to include certain low risk fund raising events.
Against Breast Cancer does not have cover for high-risk events
or for those events held for the benefit of Against Breast
Cancer where the event is organised independently of the charity.
It is therefore essential that you check with Against Breast
Cancer prior to holding an event to establish the position.
This is particularly the case where the event is of a more
hazardous nature or where it includes sporting activities.
The venue where your event is to be held may have Public Liability
cover in place so check with the owner first.
If you are in any doubt, do please ask. Both our Insurance
Brokers and Against Breast Cancer staff will be very happy
to assist.
Finances
Tax
One-off or annual fundraising events are usually exempt from
taxation. If you need clarification you should contact your
local tax office.
Counting Cash
Cash raised should always be counted by two people to protect
fundraisers in the event of any query.
Forwarding the proceeds to Against Breast Cancer
You can send a cheque made payable to ‘Against Breast
Cancer’ or ‘ABC’ for the proceeds of an
event to the charity office. Please let us have a description
of how and where the money was raised, with your name and
address, so that we can keep a record. Click

raising event names so they must not be used by Against Breast
Cancer.
